Disposal and quotes
The usual way to dispose of laboratory chemicals starts with someone retyping a stock list into an email. The register already knows what you hold, where it is and what it is, so a disposal request can start from those rows. Box 4 then arranges collection through registered hazardous waste carriers, and handles the quote, the paperwork and the invoice.
Building a request
You select items from the register, or take everything marked as awaiting disposal, and set the quantities going. You can add free-text items with photographs for anything not on the record. General laboratory or clinical waste can be added by stream, using chapter 16 05 and chapter 18 EWC codes, with an estimated weight or container count.
Then you add site access notes, a preferred window and a contact for the day. For a school that might mean a holiday date and the name of whoever holds the keys to the prep room.
Anything in an excluded category moves to a separate manual enquiry list, with an explanation of why. That covers controlled drugs, radioactive sources, explosives (including dried picric acid and other chemicals flagged as unstable), compressed gas cylinders, asbestos and unknown substances that cannot be placed with confidence. These need a person's eye and usually a store assessment, and a price worked out by software would be meaningless.
How the price works
You get one price. We obtain the collection price, add our margin and quote you a single figure, itemised by line, with EWC codes, hazardous flags, totals excluding VAT, VAT, the total and a validity date.
The price will reflect how the job has to be done. Chemicals are packed by hazard class and compatibility into lab packs, so the number of incompatible groups matters as well as the weight. Location, access and any handling requirements play a part too.
A minimum order value applies before a quote can be issued, currently £750 excluding VAT. If your list falls short, the register says by how much and offers two options: add items, or hold the list until your next stock check, with a reminder. Many stores can combine lists from a few locations, or wait for the end-of-year check, which is often when the larger clear-out happens.
Accepting a quote
You accept in the app. If your organisation has set up approvals, the approver signs off requests above the value you chose before the acceptance goes through. Acceptance creates the collection and generates a pre-filled consignment note.
The note comes in England, Wales and Scotland variants with the correct code format for each. It does not remove your own part. The producer or holder is responsible for Parts A and B, and the consignor signs Part D at the collection. Check the details match what is actually going, because Parts A to D cannot be altered once certified or removed. Our consignment note guide walks through each part by nation.
Collections from Northern Ireland are a manual enquiry for now, as we do not yet have a variant of the note for that system.
Duty of care and carrier details
The software does not show supplier names, contacts or prices while you are building a request. The carrier's registration number is shown when you accept, and the note names the carrier and the consignee at the document stage. You still need to be satisfied about who is taking your waste. You can check any registration on the public register, and our guide to checking a registration shows how.
Tracking the job
Each request has a timeline you can see at any time: submitted, pricing, quoted, accepted, scheduled, collected, documents received, completed. If a request falls under the minimum it shows as below minimum, and you can also see if it has been declined or cancelled.
When the documents come back, the register moves the items to disposed with the note attached, and a statement line is created. The container's history then runs from delivery to disposal in one place. If you are asked about a particular bottle two years from now, the answer is there.
The law in England expects producers to keep a register of consignment notes for three years at the premises that produced or stored the waste. The note archive is built for that purpose, and records in it cannot be deleted by a user in your organisation, only archived.
Store assessments and annual plans
Two services sit alongside one-off requests. A chemical store assessment is a mobile chemist visit for legacy or unknown stock, priced the same way, which produces a report that can be turned into a disposal request. An annual collection plan is a fixed yearly collection, with the price set by region, and the disposal list built from the register before each visit. See annual stock check and collection.
Money and the free offer
Collections are invoiced by Box 4 and paid by BACS. If you book a collection above £1,500, we will apply three months of the School plan free of charge to your account.
A note on broker registration
The waste broker registration number appears on every quote. Our waste broker registration number is [TO CONFIRM]. We will not issue quotes until our registration is confirmed.
Frequently asked questions
Who collects the waste?
A registered hazardous waste carrier. Box 4 arranges the collection, handles the quote and paperwork and invoices you. Box 4 does not transport, hold or treat waste itself.
Will we know who the carrier is?
Yes, before the waste leaves. The consignment note names the carrier and the consignee, and you need those details to meet your duty of care. The carrier's number appears on acceptance of the quote.
What is the minimum order?
A minimum order value applies before a quote can be issued, currently £750 excluding VAT. Below it, the register shows the shortfall and your two options: add items, or hold the list until your next stock check, with a reminder.
What cannot be quoted through the register?
Controlled drugs, radioactive sources, explosives including dried picric acid and other chemicals flagged as unstable, compressed gas cylinders, asbestos and unknown substances the assistant cannot place with confidence. These move to a manual enquiry and a recommended store assessment.
How do we pay?
By BACS against an invoice from Box 4, with your purchase order number on it if you use them. There is no card payment.
